Production Guide · Choosing a vendor

How should you choose a corporate merch vendor?

When choosing a corporate merch vendor, check seven things: minimum order quantity, sample policy, inspection, schedule management, tax invoices and paperwork, after-sales handling of defects and exchanges, and past work. Whether a promotional goods online store, a factory-direct order or a consulting merch studio fits best depends on your event size, your timeline and how much time you can spend on it.

7 things to check when choosing a vendor

  • Minimum order quantity: Check whether you can order the quantity you need and how minimums differ by item. Based on its public product listings, O-SEAN makes apparel from 1 piece (except uniform jerseys at 100) and most other items from 50 to 300 units; see Minimum order quantity for each category.
  • Sample policy: Check whether you can get a physical sample before production and when you pay for it. O-SEAN quotes sample cost and timing per item at the quote stage, and does not charge for the first sample when the order goes on to production (Terms, Article 7).
  • Inspection: Check what the vendor inspects before shipping and how long you have to report problems after delivery. O-SEAN checks quantity and print condition before shipping and does not ship items that differ from the sample or approved proof (Quality FAQ).
  • Schedule management: Check when the production clock starts and how you will be told about delays. O-SEAN counts production time in business days from payment and final proof approval, and if shipping will be late, it tells you the reason without delay and agrees a new schedule with you (Planning around your event date, Terms, Article 8).
  • Tax invoices and paperwork: Check whether you can get a quote for internal approval, a tax invoice and a transaction statement. O-SEAN provides quotes with unit prices by quantity in a format ready for internal approval, and issues tax invoices and transaction statements (Payment & tax invoices).
  • After-sales handling: Check whether the deadline and process for reporting defects, wrong deliveries and shortages are set out in writing. If you report a problem with photos within 5 business days of receipt, O-SEAN reviews its extent and cause and proceeds with a remake, exchange or refund as appropriate (Defects & returns, Terms, Article 11).
  • Past work: Check whether the vendor has published projects similar to your event or items. O-SEAN publishes completed projects on its case studies page and does not disclose confidential or personal information (Terms, Article 4).

Each type of vendor suits different situations. The table below summarizes typical differences between promotional goods online stores, factory-direct orders and consulting merch studios; actual terms vary by vendor.

Promotional goods online storeFactory directConsulting merch studio (O-SEAN)
Best forOften suits buying ready-made promotional items in small quantities quickly.Often suits repeat, high-volume production of a single item with fixed specs.Suits handing several items, from planning to delivery, to one partner around an event date.
Minimum quantityVaries by product; in-stock items often accept small orders.Often set high to match production runs.Apparel from 1 piece (except uniform jerseys), most other items from 50 to 300 units.
Unit pricePrices are often listed on product pages, making them easy to compare. With no intermediary, unit prices are often lower at higher volumes.Unit prices are set by quantity tier. Because planning and schedule management are included, a single item with identical specs at high volume may cost more than ordering factory direct.
Product rangeUsually limited to the ready-made products listed.Usually limited to the items and processes that factory handles.Produces 10 product categories, from apparel to print and packaging, with partner factories.
Proofs and design supportOften limited to choosing logo position and color within a template. The buyer often has to prepare print-ready files and specs. With just a logo or a reference image, a dedicated consultant prepares a proof showing print position and size.
Schedule and inspectionShips on the seller's terms; aligning with your event date is often left to the buyer. The buyer often tracks production and inspects deliveries directly.Works the schedule backward from your event date and checks quantity and print condition before shipping.
Workload for youSeveral items often mean separate orders and deliveries for each.Often means finding, coordinating with and inspecting a separate factory for each item. One dedicated consultant guides you from first inquiry to delivery, and sorted packing and multi-address delivery are arranged at the quote stage.

When another approach works better

  • If you repeatedly produce a single item with fixed specs at high volume, ordering directly from a factory may give you a better unit price.
  • If you need a small quantity of ready-made promotional items within a few days, an online store that ships from stock may be faster. O-SEAN's production time is 1 to 5 weeks by item, counted from payment and proof approval.
  • If unit price matters most for a single giveaway item in large volume, compare ready-made items from online stores with factory-direct quotes.
  • If your team has a designer who can prepare print-ready files and staff who can track production, ordering directly from a factory may not add much workload.

Frequently asked questions

Can I get a consultation before ordering?

Yes, you can get a consultation before ordering through the quote and 1:1 consultation form on the website. Send the item, quantity, event date and your logo or reference images, and your consultant will advise on the available specs and schedule.

A quote request or initial consultation alone does not form a production contract, so you can ask freely.

Can I make just one piece of merch first?

Apparel (light crew neck tee, sweatshirt, hoodie) can be ordered from 1 piece, so you can make one piece of merch first to check it. Sample cost and timing for items other than apparel are given per item at the quote stage.

Can I check a mockup or a physical sample before production?

Yes, a mockup check before printing is standard for every item, and a physical sample can be made depending on the item. For brand and IP merch where color matters, O-SEAN recommends matching color on a printed physical sample rather than on a monitor.

Sample cost and timing are given per item at the quote stage, and apparel is made from 1 piece, so you can receive one piece first before the main order.
